Documentation and Intake Coordinator Assistant

We are a West Michigan health plan benefits administrator seeking to hire an individual that has a desire to grow with us. We are looking for a Documentation and Intake Coordinator Assistant to join our Documentation and Health Management Department. The ideal candidate is supporting the Technical Writers and Intake Coordinators. This position requires high level of confidentiality, professionalism, and ability to problem-solve.

  • Proficient Microsoft Office, Adobe Acrobat, and Internet skills
  • Quick and effective learner of software systems

Essential Duties and Responsibilities:

  • Convert signed documents and amendments to Adobe Acrobat and publish them to the ASR Website for clients, members, and stop-loss carriers
  • Update contract cards with contact and COBRA-administration information
  • Send e-mail announcements of contract cards and of draft and signed documents and amendments
  • Draft fee memos for documents
  • Process renewal paperwork
  • Arrange for booklet printing
  • File electronic and paper documentation
  • Follow up with clients and carriers on outstanding document and amendment approvals
  • Answer questions regarding Summary Plan Description distribution guidelines
  • Monitor incoming faxes
  • Assist with mass mailings of legislative amendments and audits
  • Review work lists in clinical software system and determine when requests for additional clinical information are required
  • Create and write fax requests for clinical information to providers
  • Retrieve voice mails and determine if service requires precertification (either notify provider as appropriate or provide clear, concise summary of message to Intake Coordinators)
  • Prepare and mail letters generated by Health Management staff
  • Perform other tasks as assigned by Health Management Manager and Intake Coordinator Team Leader


Required Education and Experience

A high school diploma or GED required. Some College preferred. Medical terminology desired but not required. Two years’ experience in customer service in a health care/administration environment desired.
